But thanks to devoted and insatiable readers, many widely loved fandoms are brought to life with endless merchandise, fan art, custom music, amateur book trailers, and so much more. This hype is organic, because it’s not the author or publisher spoon-feeding entertainment out to readers. No, it’s usually the readers who don’t want “The End” to be… the end, who continue to keep the story alive in unique and exciting ways. People crave a tangable experience outside of the paper or e-reader devise they hold in their hands.
This is where the concept of a Pop-Up Book Retreat comes in – a unique, customized, immersive bookish experience where readers, authors, and book clubs come together to celebrate a book or genre in a way that brings the story to life.

Why a Book Retreat is a Game-Changer
Before I dive into the specifics, let me quickly explain why a pop-up book retreat is a must-do.

- Sure, I’m an author, but I’m also a reader. I am a true fan girl through and through. Never mind that I’m a 37-year-old mom of 4 with a very professional career… I’m also very much a Disney Princess at heart, swooning for adventure and romance, and so when I see “bookish” products, especially ones themed for my favorite book series, I lose all sense of control and feel a physical NEED to have it in my life.
- As a mega fan of Sarah J. Maas, I LOVE seeing all the Starfall Balls held over the last few years. Just because we’re adults, with real adult money, doesn’t mean we want to spend them on boring adult things. Sometimes we want to spend it on crowns, shiny ball gowns, and fake pointy ear peices. We want to cosplay badass heroines and heros, or even morally grey villains. And maybe I’ve lost some of you readers at this point, but I feel very strongly about this. Most of you reading this are adults, but if you really dig deep, you’re craving those wild and wonderful experiences your favorite characters are experiencing. And if we have to be stuck in this real world, why not have a little fun with it?

Retreat Planning Guide
Step 1: Choose your targeted theme (book/series/genre)
Whether it’s a specific book, a series, or a genre (ex. Romantasy or Cozy Murder Mysteries), choosing a theme will guide the entire experience, from decor to activities to food. How you plan this retreat or party reflects the world your book or genre is showcasing.
Not all books or genres are as visually self-explanatory. You may have to get creative and ask your audience questions about what THEY want to see or experience. There is no harm in asking questions, and the bonus side is this is extra marketing and excitement you’re building for the event.
Here are some ideas to spark your imagination when it comes to the genre you’re going for:
- Romance: Set a sweet and heartwarming tone with cozy activities. Not all romance novels are cozy or “romantic” though, and knowing your target audience is key. If it’s dark, spicy, etc… you know the drill. Add some extra flare and fun with the ambiance. Clearly you don’t want to make those in attendance uncomfortable, as this is usually a friends event, not a couples event, but if you make your branding and marketing clear, the audience is going to eat it all up. If you’re of the romantic comedy genre, go for funny and witty activities that get people laughing. That’s what readers seek in the book, so they will seek it in the event as well.
- Fantasy: The goal is to transport your guests to the magical world they so desperately want to escape into. Add fantastical elements, costume attire, and accessories, and adding adventure and “quests” is surely going to be a memorable addition to the event. Most fantasy books have plenty of world building details that this shouldn’t require too much effort to know what experience to recreate, but obviously there is a big difference between epic and urban fantasy, so keep these details in mind.
- Mystery or Thriller: Some people’s obsession with crime is beyond me, but that’s beside the point, you can turn your retreat into a murder mystery with detective games, secretive clues, and suspenseful activities. You can even find these sorts of games for free or cheap online, such as Etsy.
- Historical Fiction: Take readers back in time with immersive experiences, period-specific decor, and reenactments. Little details make all the difference here, and luckily you can research what sort of activities and foods were popular or common in the genre of choice to make it as authentic as possible while staying on budget.
- YA: Think youthful energy, coming-of-age themes, nostalgia, or even group discussions. Most YA has a subgenre you can seek additional details in the other examples listed above.
Step 2: Choose a location or platform for the retreat
Once you’ve nailed down the specific theme of this pop-up book retreat, it’s time to find a location that brings the theme to life. And maybe that means you’re going to host it in real life… in person, at a venue that reflects the genre’s vibe, and also has ample space for activities and/or relaxation.
But don’t sweat it if your budget cannot accommodate a paid venue. I have seen events held at Panera’s and it’s more of a first come first serve situation. I am aware of retreats that were held at a church camp, and some at local coffee shops and parks. It’s fully up to you to determine how big or small you want this event to be. Exclusivity isn’t always a bad thing.
That being said, one of the best ways to be inclusive is to host the event virtually. This opens up the “space” for more attendees, less commitment, and less risk of things going south.
- Here are some in-person location ideas to consider: A cozy retreat center, boutique hotel, bed and breakfast, historic sites, vineyard, farm, church or non-profit camps, park pavilion, unique AirBnB rental, bookstores, library meeting rooms, modern restaurant, coffee shop, etc.
- Video conferencing platforms and digital resources to consider: Zoom, Google Meet, Microsoft Teams, Gather, IG/TikTok/Facebook “live”, Virtual Escape Rooms, Kahoot!, Skribbl.io, Houseparty, Miro, MURAL, Trello, Google Workspace, Hopin, Airmeet, Remo, Teachable, Thinkific, Shareskill, Udemy, Discord, Slack, WhatsApp Groups, Facebook Groups, Virtual Photo Books like Snapbar or Selfie Booth, Eventbrite, and Canva.
Step 3: Develop marketing strategy and budget
Chances are, you already have a platform with an audience, and you should utilize your current audience to drive excitement and buzz around this event. Create engaging posts and livestream updates leading up to the event. You can use many of the resources listed above, such as Canva, to create graphics and flyers to hand out or email to your friends/followers.
Don’t forget the cost associated with this event! You can chalk it up to self marketing costs, or request the attendee’s pay for a ticket. Some people may hesitate to charge for this event, but keep in mind that your time is very valuable, and associating (some) cost to it could weed out those who are not really commited or planning to positively contribute to the event. It will not assure that the event will be drama free, but limiting the barrier of entry has it’s positives as well.
(That being said, the goal is to make this event accomodating, and cost is one of those factors that can really hinder participation. If you do choose to charge fo this event, make sure you’re honest and transparent about what’s included, and what’s not.)
Step 4: Plan immersive experiences and activities
The most important part of your pop-up retreat is designing activities that will immerse guests in the world of the book or genre. Activities should be fun, engaging, accommodating, and reflect the themes of the story.
Activity ideas: Live readings, author talks, author interviews to include Q&A, workshops, games, trivia, escape rooms, dressed up characters “meet & greet” (who wouldn’t want to snap a picture with their book bestie… or boyfriend), themed meals and snacks, dances, costume and dress up contests, interactive storytelling (ex. choose your own adventure).
Step 5: Promote your book retreat
This was covered a little in step 3, but here are some of the promotion strategies that can ensure you get the word out and fill your retreat with eager fans
- Promotion Ideas: Social Media Campaigns, email newsletters (if you don’t have one… you should!), influencer partnerships, early-bird discounts, or exclusive offers.
Step 6: Execute retreat with ease and enjoyment for all attendees
Planning is 90% of the work, but if you can’t execute well, it can really affect your overall image and happiness of those core readers who really count on you for entertainment. No pressure… lol.
To create a comfortable and enjoyable environment, consider the following:
- Logistics and Accomodation: Ensure your attendee’s have everything they need to enjoy the retreat, and do the hard work up front by offering suggested transportation and accomodation options.
- Personalized Touches: Take it up a notch with personalized swag bags filled with tehemed items (bookmarks, tote bags, waterbottles, signed copies of books, etc.)
- Relaxation Time: Allow gusts time to relax and enjoy the scenery. Your guests may also want time to read, or chat with new friends and aquantances they met at the event. You can build in this time to really deepen the experience. This also allows you, the host, to have a moment to reflect and enjoy it too!
- Event Schedule: Create a clear event schedule (Canva is free!) and communicate what the gusts can expect, including the activities, downtime, eating windows, and logisitics.
